The Senior Facilities Project Coordinator assists with facilities-related projects for the improvement and upkeep of commercial real estate property. This position assesses project requirements, schedules and coordinates required tasks to be completed, ensures appropriate resources are planned for and available. This position maintains property and space planning information and assists with space, furniture and equipment planning and procurement. The Senior Facilities Project Coordinator ensures that all projects are completed with the appropriate level of quality, on time and within budget.
Reviews, analyzes and maintains current corporate occupancy requirements; recommends and assists in implementing new/revised departmental locations as business needs require. Reviews and recommends opportunities for efficiencies in space allocations that include SS&C and its affiliated companies in the area.
Provides centralized support for all corporate space planning efforts. Works with facility and division representatives to gather headcount and other planning data, forecasts short & long term space requirements.
Coordinates a variety of projects impacting department/division through regular verbal and written communication with management and support departments. Provides status reports and project plans in support of Facilities Management team efforts. Project leads other large-scale efforts for the Facilities Management Department as required.
Responsible for facilities design function, working closely with management and associates to understand specific functional requirements and translate them into effective facilities design solutions. Prepares and delivers presentations for proposed space designs.
Assists with budget planning and yearly projections. Works with vendors, architects and external designers obtaining cost estimates for projects and related expenses. Analyzes department/division data and budget variances.
Organizes, tracks and reports the flow of various work requests. Prepares project specifications and schedules, and assigns and monitors responsibilities and target dates for completion. Analyzes generates statistics representing activity and trends.
Works closely with other facilities/securities staff to identify and act on opportunities for improving quality of service and customer satisfaction.
Assists in the development, implementation and distribution of corporate-wide work area policy and building services for all facilities. Drafts new and/or updates existing policies. Recommends on-going communication programs to ensure adequate dissemination of policies.
Utilizes a Computer-Aided Design (CAD) system to maintain drawings for all office layouts and modifications.
Thorough knowledge of facilities/property administration procedures is required.
Ability to read building plans, blueprints and materials specification listings.
General knowledge of state/local building codes and regulations.
Project management and leadership skills. Ability to set priorities, develop plans and keep track of numerous details. Ability to provide direction to others; work collaboratively and influence others.
Ability to communicate clearly and effectively, both verbally and in writing in order to discuss facilities issues with vendors, members of management and overall associates as needed. May be required to address group audiences.
Organizational skills in order to handle multiple priorities and projects simultaneously. Good follow up and attention to details required.
Analytical and problem-solving skills.
Proficient in PC skills, such as ability to use Microsoft office applications, as well as computer-aided design applications.
Bachelor's Degree or equivalent combination of education and work experience
3-4 years prior facility administration experience required; prior leadership experience preferred.
