Role Overview

While working under limited supervision, you will function as a senior staff member. As a Financial Operations Representative III (Sr. Operations Specialist), you will be assisting management with monitoring workflow and/or incoming telephone calls while making recommendations for improvements to our procedures and/or process flow to reduce or eliminate processing errors. You will be responding to team questions, as well as escalated sensitive and/or complex client, shareowner and/or broker dealer inquires via telephone and/or written correspondence. This role provides cross training and/or customized functional training to improve phone skills, quality, processing efficiencies and client specific processing; and complete special projects and requests as assigned.

Responsibilities

  • Checks work performed by staff members, assuring adherence to policies, procedures, deadlines and quality standards. Makes recommendations for procedural changes when necessary.

  • Provides management with technical support and assists with the assessment, prioritizing, monitoring and processing of workflow.

  • Researches, processes, and resolves complex transactions, relaying problems to management when necessary. Approves transactions based on corporate policy (i.e. estimates).

  • Directs and trains others as directed by management; makes suggestions for additional training programs; assigns and delegates workflow.

  • Monitors Task Tracker, reviews the non-end detail report, assists management with tasks such as desk audits, etc.

  • Participates on corporate initiatives, best practice and other improvement teams as needed.

  • Coordinates special projects and reports as assigned.

  • Assists with phone coverage if necessary, including taking sensitive or complex calls from clients, shareowners, and/or brokers; disseminates and explains more complex information regarding legal requirements and corporate policies.

  • Reviews selected high dollar transactions and performs a quality comparison between the incoming call and transaction entered on the system, ensuring all required security checks are met, accuracy of work entered, and all customer service etiquette was present in the call.

Qualifications

  • Advanced knowledge of transfer agency, fund procedures, and Federal regulations required in order to process complex transactions accurately and/or communicate with clients, shareowners, broker/dealers.

  • Advanced knowledge of load and no-load funds, brokerage commission structure, and commission cycles.

  • Excellent verbal and written communication skills, able to converse knowledgeably and concisely with callers, clients, team members and management.

  • Demonstrated ability to provide effective coaching and feedback to develop and support team members.

  • Excellent problem solving skills.

  • Ability to interpret written and telephone requests/issues accurately and supply appropriate follow-up action as necessary.

  • Strong computer skills with demonstrated proficiency with the Microsoft Office Product Suite.

  • Meets and surpasses quality and productivity objectives within current role; brings a quality mindset to all aspects of the work.

  • Excellent ability to multitask in a fast-paced environment, handling and following through on multiple tasks within multiple deadlines for multiple clients.

  • Ability to deal with unexpected situations and address sensitive issues.

  • Good organizational skills with attention to detail in order to ensure that all deadlines and service levels are met.
