Job Description:

Work Schedule: Monday-Friday 8am to 5pm

Role Overview

Supervises department personnel and manages daily operations within the Mail / Distribution Services team, ensuring quality service and the professional development of all associates. Sets client mail and scanning workflow priorities and ensures timely and accurate mail receipt and scanning of client/shareholder transactions. All work adheres to and is managed in accordance with established quality and productivity guidelines and standards.

Responsibilities

  • Manages assigned personnel. Plans, allocates, and monitors work, and makes decisions regarding employment, performance reviews, training and development, salary recommendations, and related personnel actions.

  • Coordinates and monitors daily mail and scanning workflow to ensure all functions are performed on an efficient, timely basis and meet quality, productivity, SLA and audit standards; reviews and prepares quality and productivity reports for management.

  • Interfaces with internal and external client(s) to respond to questions regarding shareholder account issues, post office boxes, research, and scanning. Escalates mail or scanning exceptions with significant financial ramifications to senior management.

  • Communicates with various support and Mail/Distribution Services departments to address shareholder and client inquiries. Reviews operating procedures and policies, identifies issues and makes improvement recommendations to senior management.

  • Manages the training and development of department personnel; regularly monitors associates' progress and provides sorting, productivity, and quality feedback to direct reports.

  • Oversees the utilization of all SCL, Pitney Bowes Metering, WorldShip, OPEX and IBML mail services / scanning applications and equipment, as directed by management. Monitors individual usage and providing feedback to associates, as well as vendors.

  • Manages and participates in a variety of special projects, new product testing and implementation.

  • Coordinates conversions, de-conversions, and start up clients, as directed by senior management.

  • Partners with Settlement Administrations area, as well as Operations in both East and Midwest for mail receipt and scanning.

Qualifications

  • Bachelor's degree or equivalent combination of formal education and work experience.

  • 3 - 4 years transfer agency or related Front End experience, including 1 - 2 years senior specialist experience preferred. Familiarity with archival processes required

  • Knowledge of mail sorting procedures required

  • Knowledge of computer systems preferred

  • Knowledge of general office and administrative procedures (e.g., data entry) required

  • Knowledge of multiple mutual fund processing procedures required

  • Knowledge of cash processing and transaction sorting procedures required

  • Knowledge of Front-End, Back-End, High-Speed scanning equipment required

  • Knowledge of AWD/DST processing and Image workflow required

  • Ability to communicate clearly and effectively, both verbally and in writing, deal with people; interpretative reasoning ability

  • Ability to handle a variety of tasks and changing responsibilities, display leadership, control and planning skills, and influence others.

  • Maintains open and clear communications and can speak to all level of management clearly and effectively.

  • Takes a leadership role and coordinates the success of the teams’ daily work and production.

  • Ability to multitask and perform tasks to completion; ensuring quality and timeliness is achieved or exceeded for both the client and Company.

  • Analytical, problem solving and follow through skills.

  • Can create and produce coherent and mistake free procedural documentation and memos.

  • Legible handwriting skills; Technical mathematical skills

  • Ability to work in a fast-paced, deadline-driven production environment, support oneself in an erect position (standing or sitting), and hear with a level of background noise

  • Ability to operate high-speed mail sorting and extraction equipment; Visual acuity at arm’s length; Ability to perform substantial repetitive motion of the body or its parts

  • Ability to access equipment at various levels.
