Role Overview

The Adjustment Specialist II provides support to Operations and other specialized groups by researching and resolving discrepancies of a complex nature. This role performs the more complex adjustments and reviews transactions to ensure compliance with quality standards. Candidates for these positions must be flexible, dependable and have a willingness to learn new processes. They must also have good communication and customer service skills. Flexibility in working overtime hours will be necessary during peak volumes. We are looking for a team player who will engage with their peers, assist with escalation work, and assertively help with overflow volumes. Responsibilities:

This position is responsible for corrective processing as a result of Intermediary, Fund, Transfer Agency or Custodian errors for Mutual Fund and 529 clients serviced within the organization. Responsibilities include all corrections-related processing: as-of trades, cancellations, estimates, contribution year updates, dividends, capital gain corrections, etc.

  • Performs the more complex functions in the Research or Adjustments group. Investigates the most complex research requests generated from multiple sources, such as plan sponsors, participants, dealers, shareowners, fund companies, third-party administrators for assigned clients.

  • Determines need for adjustments and whether correction involves outside party indemnification. Handles the most complex transactions involving longer time frames of research and corrections.

  • Provides advice and direction to lower level adjusters as needed and responds to escalated calls.

  • Acts as liaison between multiple clients under time-sensitive deadlines in order to minimize potential “as-of” loss exposure.

  • Analyzes current processing procedures and recommends changes to ensure client requirements and Federal regulations are met.

  • Generates and/or reviews a variety of daily reports and reviews for discrepancies (kickers) that need research and correction. Works with Control Department and other internal groups to resolve open items.

  • Prepares priority research requests for completion using TA 2000 or computer terminal; orders and receives archive documents of account records, locates and searches ledgers, films and fiche to obtain information for a timely and accurate resolution.

  • Resolves complex cases involving outside party indemnification. Determines responsibility of payment based on (“as of”) agreements on record. Corresponds with client facing or external institution requesting funds to cover loss. Follow up on open items until funds are received and redistributed and case is resolved.

  • Coordinates special projects and reports as assigned. May assist manager with workflow coordination as needed.

  • Determines action required for adjustment request: validating corrective steps, timeframes, and any special considerations for the handling of the item.

  • Calculates gain/loss impact of adjustments and as-of transactions; handles processing in a timely manner to minimize any potential as-of exposure.

  • Resolution of complex Cost Basis discrepancies; navigating rejects and research items.

Qualifications

  • Excellent communications skills (both verbal and written). Ability to listen, speak and write effectively is required in order to resolve discrepancies and coordinate solutions with multiple parties. Must be able to use industry standard terminology.

  • Strong analytical and follow through skills required for researching information and finding solutions to pending items and discrepancies. Numbers aptitude is required.

  • Organization, attention to detail and accuracy are required in order to research and reconcile transactions on a timely basis.

  • Customer service orientation; acts as liaison between clients and internal groups. Tact and diplomacy are required.

  • 1-2 years business experience in customer service or customer support roles.

  • Ability to quickly learn and adapt to new systems, and processes

  • Strong working knowledge of AWD and multi-fund family legal guidelines and processes preferred.

  • Ability to work independently and within a team.

  • Ability to multitask and meet deadlines in a fast paced environment.
