Role Overview

ALPS is looking for an Administrative Assistant to provide administrative and office support to multiple Asset Management Directors within the company. We are looking for someone who has previous experience working for high level leaders and is capable of prioritizing and multi-tasking. This position will also provide back-up assistance to the receptionist on a rotating schedule and to the executive assistant as needed. Proficiency in Microsoft Outlook, Word, PowerPoint and Excel are a must!


Duties include, but are not limited to:

  • Scheduling high level meetings with executives and directors

  • Acting as back-up for receptionist including answering a multi-line phone system, sorting mail, and processing packages

  • Coordinating travel arrangements and completing expense reports for assigned personnel

  • Ordering office supplies for specific departments

  • Providing general support to visitors, vendors and auditors including scheduling meetings and coordinating agendas

  • Creating presentations, reports and documents using desktop publishing software and digital graphics

  • Event planning for Asset Management meetings

  • Providing general administrative duties including typing, scanning, filing (primarily electronic), copying, formatting of documents and internal mail distribution

  • Ability to take on additional duties as assigned


  • Proficiency with Microsoft Office Word, Outlook and Adobe. Strong calendaring experience required

  • Ability to learn new functions and systems quickly

  • Strong attention to detail and ability to see projects through to accurate completion

  • Must have strong communication skills, enthusiasm, and a strong desire to succeed

  • Ability to manage multiple tasks /functions in a time sensitive environment

  • Ability to exercise discretion and judgement with sensitive information

  • Team player with superior organizational skills and with the ability to work independently, problem solve, and take initiative

  • Minimum of high school diploma and 3+ years office work experience
